Conference Retention Intelligence

Two numbers decide whether your conference survives: exhibitor renewals + attendee return rate

They don’t decide whether to rebook when you send the post-conference survey. They form that opinion on the floor. They made those decisions months earlier, in a dead aisle, in a crowded registration queue, in an empty session, etc.

I spend your entire conference on the floor collecting actionable renewal intelligence your internal team is too busy, too close, or too involved to systematically see. You get the findings while the event is still happening and a concise field report showing what worked, what didn’t, where sponsors, exhibitors, and attendees are likely to have concerns, and what you can do about it.

One independent reviewer. One conference. Bookable up to 10 days out.

What We Do

An independent reviewer on the conference floor daily, with one assignment: exhibitor & attendee retention

This is not a survey. Surveys ask how satisfied they were, weeks later, from people willing to fill out a form. This is a direct observation while the event is happening. You get: what happened, why it matters, what you can still change.

This is not attendance verification, nor an audit of headcount and demographics.

I attend as an ordinary attendee. Own badge, own company, no branded shirt. From registration through departure and observe:

ATTENDEE EXPERIENCE

Registration. Arrival. Signage. Dead zones. Bottlenecks. Wayfinding. Check-in. Session selection. Room experience. Breaks. Food. Networking. Navigation. Departure. Overlooked opportunities. Unexpected behavior. What attracts them. Where they get confused. Where they wait. What they skip. Where they stay. Where they leave. Which rooms fill. Which don’t. What generates questions. Where people leave. Which topics create energy.

EXHIBITORS & SPONSORS

Traffic. Placement. Staffing. Engagement. Friction. What appears to be working. What appears to be frustrating. Which booths attract attention. Which are ignored. Where traffic actually flows. What attendees respond to. Where sponsors create friction.

NETWORKING & ATTENDEE BEHAVIOR

Where people actually meet. Where they congregate naturally. Where networking breaks down. Whether the event is creating the connections it promises. Where people stop. Where they wait. What they photograph. What they discuss. What they complain about. What makes them stay. What makes them leave.

What You Get

We embed on the conference floor to serve as your dedicated eyes and ears, delivering real-time signals and intelligence. Real-time findings are delivered during the event through whatever channel your team already uses: Slack, WhatsApp, Google Docs, email, or another agreed channel.

When something is broken on day one, you hear it on day one, while there is time to fix it. Signage sending people the wrong way. A queue forming at a predictable hour. A sponsor tier placed in dead floor space. A room at double capacity beside an empty one.

The goal is not to document problems. It’s to surface problems while they can still be addressed.

The deliverable your sales team will actually use, in their hands while the show is still fresh. Every sponsor and exhibitor tier, walked and assessed on value, floor conditions/experience, and opportunities:

  • Observed traffic measured against what they paid
  • Where they sit relative to real footfall, not the floor plan
  • Whether staffing, placement, and format are working
  • What their booth staff said to a stranger who wasn’t wearing your conference logo
  • A ranked list of accounts at renewal risk, with the specific reason for each

The goal is to identify renewal-risk signals, exhibitor experience issues, and evidence worth acting on before your sales team has the renewal conversation.

The full event journey from an independent attendee perspective, documenting:

  • THE FRICTION: Where the attendee experience breaks down.
  • THE SURPRISES: What your internal team probably didn’t expect.
  • THE MISSED OPPORTUNITIES: Where the event could be creating more value.
  • THE WINNERS: What’s working exceptionally well and should be preserved.
  • THE COMPETITIVE GAPS: What other events do better or differently.
  • THE CHANGES: The specific improvements worth considering for the next event.

An outside set of eyes telling you what actually happened.

Curated photos, videos, notes, and other documentation supporting the findings, captured in accordance with conference rules and permissions.

Not a media package. Evidence for the conclusions.

Why Me

I am Mark O’Brien, and I’m the one walking your conference floor. Embedded field intelligence delivered by an exit-founder who knows how to collect data that drives ROI.

I’ve built and sold companies, taught over half a million students technical subjects, and spent fifteen-plus years buying media and building pipeline.

I’ve been the sponsor deciding whether an event was worth renewing, and the attendee deciding whether to come back.

How it Works

Most research engagements need a quarter of lead time. This one needs ten days. That’s the whole point.

You may realize three weeks before the event that nobody has an independent set of eyes on the floor. You may have a sponsor complaining. You are worried about specific renewal conversations. You may simply want to know what your team isn’t seeing. That’s when you call me.

  • 10+ days out: Engagement confirmed. You provide the conference credential. I handle travel and preparation under our all-inclusive flat rate.
  • 7+ days out: Mission call. We review your event, audience, agenda, floor plan, sponsors/exhibitors, and objectives. I build the field brief around the questions you need answered.
  • Conference days: On-site from the first attendee touchpoint to departure. Live Field Desk running throughout. Observe. Walk. Attend. Document. Ask.
  • 1 week after: You receive the reports and a debrief covering the most important findings, opportunities, and recommended changes.

All-Inclusive Pricing

A conference with several thousand paid attendees and a full expo floor is a multi-million-dollar P&L, and most of the renewal revenue is decided in three days. One saved sponsor renewal covers our cost many times over. One structural fix caught on day one improves the event for every attendee still in the building. One friction point removed compounds across every future edition.

$5,995

You provide the conference pass; we purchase everything else with our all-inclusive flat rate, including: travel (T&E), prep, 3-day on-site field intelligence, analysis, debrief, and report delivery.

Your Conference Retention Unlock

Your staff has hundreds of jobs during a conference. My job is different. I attend independently and experience the event from the perspective of the people you need to retain.

One independent reviewer, one conference. Bookable up to 10 days out.

FAQ

Yes. Before the event, we build your brief around what matters most to you. We can customize reports and deliverables you need. For example: investigate specific areas/booths, attend specific sessions, identify trends, capture pain points, audit specific sponsors/exhibitors, review registration at peak hours, interview sponsors/attendees with your questions, etc.

After months of building the event, nobody internal can still see it the way a first-time attendee does. That distance is the value. Your team sees the event from the inside; I’ll tell you what it looks like from the outside. I show up, navigate the event, attend sessions, walk the floor, observe behavior, and experience the conference without carrying the operational responsibilities of your team.

Yes, via the Live Field Desk. Anything time-sensitive reaches you while you can still act on it during the event rather than waiting for the final reports. We can share the things your team will benefit from knowing while the conference is happening.
